Description

ANR Group Inc is accepting resumes for an Office Assistant for a non-profit in Kennewick,  WA.

This position will provide administrative support to an area non-profit. This is a part-time position that averages between 20-30 hours per week.  This position is not eligible for remote work,  but willing to work around class schedules.

Responsibilities

DESCRIPTION OF WORK –  SPECIFIC

  • Must be proficient in Microsoft Office Products (Word,  Excel,  Outlook,  PowerPoint to prepare documents,  brochures and presentations
  • Record incoming financial donations,  assemble deposits,  and deliver to bank
  • Receive invoices for payment and deliver to bookkeeper
  • Digitize and store business documents
  • Write letters to donors,  clients
  • Prepare year end donor tax letters as required by IRS regulations
  • Assist Executive Director with administrative duties as needed
  • Complete contracts for renewal
  • Complete applications for funding programs (United Way etc.)
  • Assure compliance with state and federal programs (EFSP,  TEFAP,  EFAP,  CFD etc.)
  • Schedule meetings and manage calendar for Executive Director and organization as needed
  • Attend meetings and conferences as requested by Executive Director
  • Coordinate publication of closure notifications for holiday and weather emergencies
  • Maintain social media:  Facebook page and website
  • Provide software support and training for client management software
  • Provide IT support;  set up new computers,  install printers,  scanners,  upgrade software,  troubleshoot computer issues,  schedule outside IT maintenance when necessary
  • Oversee staff from outside programs (LIFT,  AARP-SCSEP),  obtain proper documentation on staff member,  verify time sheets prior to submission for payment
  • Supervise volunteer staff in daily tasks
  • Schedule and lead Civil Rights trainings to comply with Federal guidelines
  • Created Volunteer database to track volunteer training,  food handling documentation,  and required paperwork
  • Order and purchase supplies as needed;  research sources for best prices
  • Maintain authorized driver list and communicate to insurance provider
  • Maintain vehicle list including branch assignment,  maintain titles and registration
  • Local administrator of CSFP program,  processing incoming applications to qualify applicants for additional assistance,  maintain database of participating clients to keep client list current,  report monthly activity in a timely manner,  month end processing to generate client list for intake staff
  • Develop and administer new Home Delivery program,  qualify clients for participation,
  • record services,  oversee content of food box
  • Maintain Policy and Procedure Manual as changes occur
  • Established filing system as part of Central Office set-up,  including digital filing protocols for incoming bills and invoices,  and long-term digital storage of organization records
  • Maintain flexibility to adjust priorities as situations require

Qualifications

Required qualifications:
  • A minimum of one year of administrative experience
  • Strong computer skills and understanding of social media
  • Must be proficient in Microsoft Office Products (Word,  Excel,  Outlook,  PowerPoint to prepare documents,  brochures and presentations)
  • Professional appearance,  easily approachable and outgoing personality 
  • Willingness to work closely with a variety of community leaders and volunteer
  • True desire to make a difference in the Tri-City area
Preferred Qualifications:
  • Experience in warehousing,  food distribution or grocery industry
  • Experience managing a non-profit organization
